Refund and Cancellation Policy
ZCarWash Service strives to provide the highest level of automotive care and customer satisfaction to the Chantilly community. We understand that plans can change; however, to maintain our professional schedule and ensure our technicians’ time is respected, we have established a clear framework for cancellations and rescheduling. We respectfully request a minimum of 24 hours’ notice for any cancellation or modification to your scheduled appointment. Cancellations made with less than 24 hours’ notice are subject to a cancellation fee equal to 25% of the total service cost, which may be charged to the payment method on file or deducted from any pre-paid deposit. In cases where a customer fails to show up for a scheduled appointment or provides notice within 3 hours of the start time, the full service amount may be forfeited or charged as a “no-show” fee. We believe this policy allows us to offer open time slots to other patrons who may be on our waiting list.
Regarding refunds for services performed, ZCarWash Service operates under a “Satisfaction Guarantee” model rather than a standard cash-back policy. We strongly encourage all customers to inspect their vehicle alongside our detailing supervisor immediately upon completion of the service. If you are not completely satisfied with any aspect of the cleaning or detailing, we will rectify the issue on the spot at no additional charge. Once the vehicle has left our premises or our mobile technicians have departed the service site, it is understood that the service was performed to your satisfaction. As automotive detailing is a labor-intensive service, we do not typically offer cash or credit card refunds once a service has been completed and accepted. However, if a legitimate service deficiency is identified within 24 hours of completion that was not apparent during the initial inspection, we may, at our sole discretion, offer a partial store credit or a complimentary “touch-up” session to resolve the matter.
For mobile service appointments, weather conditions play a significant role in our operational safety and service quality. In the event of inclement weather—such as heavy rain, snow, or extreme temperatures, ZCarWash Service reserves the right to reschedule your appointment to the next available opening. In such instances, no cancellation fees will be applied to the customer. If you choose to cancel your appointment entirely rather than reschedule due to weather, any pre-paid deposits will be converted into a store credit for future use. Please note that all refunds processed back to a credit or debit card, when approved by management for exceptional circumstances, are subject to a 5% administrative processing fee to cover the non-refundable costs imposed by our payment merchants.
This policy is designed to be transparent and fair, ensuring that ZCarWash Service can continue to provide premium detailing results while managing a sustainable business. By booking an appointment with us, you acknowledge that you have read and agreed to these terms. We recommend that customers keep a digital or printed copy of their booking confirmation, which contains a summary of these policies.
